Welcome to 'Owl Voice Note'. We value your privacy and strive to protect your personal information and voice data. This Privacy Policy explains how we collect, use, and protect your information when you use our high-precision AI voice note application.

1. Voice Data Security & Sandboxed Storage

We believe your voice is highly personal. To ensure the highest level of data privacy, our application employs a **Local-First, Sandboxed Security Architecture**:

  • Strict Local Sandbox Isolation: All audio recordings are created, processed, and stored strictly within the secure application sandbox directory on your local iOS device. No raw audio files are ever quietly streamed, collected, or uploaded to our servers in the background.
  • Explicit Upload Trigger: Raw audio files are only sent to our secure servers when you explicitly initiate the transcription process by tapping the "UPLOAD NOW" button.
  • Secure Transmission Tunneling: When a transcription request is triggered, your audio data is encrypted in transit using industry-standard TLS protocols.
  • WhisperX AI Processing: Uploaded audio files are stored temporarily on our servers solely to run high-precision WhisperX alignment and speech-to-text processing. Once the transcription is completed and the Subtitle (SRT) file is generated, the raw audio file is safely managed in accordance with automated server storage retention and cleanup rules.

2. Other Information We Collect

Aside from your voice data, we may collect the following types of information to maintain secure app operations:

  • Authentication Information: Your nickname, email address, profile picture, and identifiers provided during secure Apple, Google, or Facebook Sign-In.
  • Device Registration and FCM Tokens: We collect persistent, hardware-neutral device UUIDs (generated locally via secure ULID standard) and Firebase Cloud Messaging (FCM) push tokens. This is used solely to notify your device instantly when the WhisperX AI transcription job is complete, preventing battery-draining background polling.

3. How We Use Your Information

We use the collected information only to:

  • Provide, operate, and maintain the transcription queue and status service.
  • Deliver real-time push notifications regarding the status of your transcription jobs.
  • Improve, personalize, and optimize our voice recording visualizer and file management systems.
  • Comply with necessary server API cryptography signatures and prevent malicious API exploitation.

4. Data Sharing and Disclosure

We do not sell, rent, or share your personal data or voice recordings with third parties. Your data is disclosed only in the following restricted scenarios:

  • With your explicit consent: By initiating the "Upload Now" transcription request, you authorize our AI engine to process the selected audio file.
  • For legal reasons: If required to do so by applicable laws, regulations, or valid requests from public authorities.

5. Your Data Protection Rights

You have full control over your information. At any point, you can exercise the following rights directly from the application's Settings screen:

  • Account Deletion ("Delete Me"): Tapping the **"Delete Account"** option in the settings menu will instantly trigger an account deletion request. All your profile metadata, persistent device tokens, and temporary transcribing resources on our servers will be permanently and irretrievably erased within 24 hours.
  • Local Data Control: You can delete any local audio recordings or downloaded SRT transcript files from your device at any time, which also cleans up any mirrored iCloud folder copies.
