Data Deletion Policy
Owl Voice Note
Effective date: May 27, 2026
At Owl Voice Note, we fully respect your right to privacy and absolute control over your personal data. This policy outlines our clear, automated process for requesting the permanent deletion of your account metadata, login tokens, and transcribing resources from our servers.
1. Self-Service Deletion via Mobile App
The fastest and most reliable way to delete your data is directly from your iOS mobile app. This triggers an automated, irretrievable purge across our entire server-side database:
Tap the gear icon on the top right of the Owl Voice Note main screen.
Scroll to the bottom of the Settings menu and tap the "Delete Account" button.
Confirm the deletion prompt. Your account will immediately be deactivated.
2. Purge & Retention Timeframe
Once you confirm the deletion request within the app, our backend servers automatically schedule a permanent purge queue:
- Immediate Lock: Your persistent device ULID, nickname, and API credentials are immediately deactivated.
- 24-Hour Complete Wipe: All metadata records, temporary server-side transcribing segments, and Firebase push tokens mapped to your profile are permanently erased within 24 hours.
- iCloud and Local Controls: Local audio files stored inside your device's documents folder are fully controlled by you and will not remain on our servers.
3. Manual Deletion Requests
If you cannot access the mobile application and wish to request account deletion manually (including requests regarding Facebook platform data deletion requirements), you may submit a request directly to our security officer:
- Send an email to: [email protected]
- Please include your registered nickname and device UUID (if available) to help us locate your credentials.
- Our team will verify the ownership and process the absolute wipeout of your profile data within 48 hours of receipt.
4. Irretrievability Warning
Please note that once a data deletion request is successfully processed, all generated Subtitle (SRT) notes, transcription cache, and history are permanently lost and **cannot be recovered** by our support team under any circumstances. Ensure you have backed up any critical local `.srt` files prior to deactivation.
